System Upgrade 27/2–1/3 – Important Information

Beijer Ref Denmark, including H. Jessen Jürgensen A/S, Armadan A/S, Insulize A/S and TT Coil A/S, will carry out a planned system upgrade of our finance and supporting systems from Friday 27/2 through Sunday 1/3.

The upgrade is an important part of our digital development and will ensure that we can continue to deliver high quality, transparency and stability in our cooperation with customers, suppliers and other business partners.

During this period, system access will be limited. This means that:

warehouses and branches are closed for dispatch and pickup on Friday 27/2
webshops will be unavailable from Friday 27/2 to Sunday 1/3
goods cannot be dispatched or received on Friday 27/2
delivery dates, stock levels and order confirmations cannot be viewed or confirmed during the period

We are not closed for enquiries. Our employees will remain available to advise, plan and follow up by phone and email.

The systems are expected to be operational again from Monday 2/3, when orders, deliveries, invoicing and other processes will resume.

In the days following the upgrade, our teams will be working in a new system. As a result, response times by phone and email may be longer while processes are stabilised. We appreciate your understanding.

To ensure a smooth transition, we recommend that necessary orders, deliveries and agreements are planned well in advance of Friday.

FAQ – Customers

1Why are you upgrading your systems?

We are upgrading our finance system to Dynamics 365 to ensure more stable operations, better visibility and ongoing improvements to our service. Supporting systems are upgraded as part of this.

2When will the new system go live?

The new system will go live on Monday 2/3 from the morning. No additional downtime is planned, but brief disruptions may occur during the transition. The transition takes place over the weekend. Systems will be closed for transactions from Friday 27/2 to Sunday 1/3.

3Can I still place orders during the upgrade?

Yes. You can still speak to us by phone about orders and planning. However, the systems cannot receive orders on Friday 27/2, which is why our webshops will be closed.

4What happens to orders placed before the upgrade?

All open orders will be transferred to the new system and processed as normal.

5Will my order numbers change?

No. Existing orders will retain their current order numbers.

6Will delivery times be affected?

We do not expect any changes to agreed delivery times. However, during the transition period delivery dates cannot be viewed or confirmed in the systems. We appreciate your patience.

7What should I do if I discover a price or discount error?

8Will the invoice layout change?

Yes. The invoice layout may look different, but content, prices and payment terms remain unchanged. If you would like to receive a sample of the new invoice, please contact bogholderi@beijerref.dk

9Will payment terms or bank details change?

No. Payment terms and bank details remain unchanged.

10How are invoices handled before and after the upgrade?

Invoices for deliveries before the upgrade will be issued as usual. Invoices after the upgrade will be issued from the new system.

11 Can I still receive credit notes for previous invoices?

Yes. Credit notes can be issued for invoices both before and after the upgrade.

FAQ – Suppliers

1When will the new system go live?

We will go live with Microsoft Dynamics 365 on Monday 2/3. The transition takes place over the preceding weekend, and systems will be closed for transactions on Friday 27/2. No additional downtime is planned, but brief disruptions may occur during the transition.

2Can I deliver orders placed before the system upgrade?

Yes. All open orders agreed before the upgrade will be carried over and delivered as agreed.

3Will existing order numbers change?

No. Existing orders will retain their current order numbers.

4Will delivery addresses or delivery instructions change?

No. Existing delivery addresses and instructions will be carried over unchanged.

5Will invoicing details change?

As a rule, no. Any changes to invoice format, address or references will be communicated directly to the affected suppliers.

6How do I invoice deliveries made before the system upgrade?

Invoices for deliveries before the upgrade should be sent as usual, referencing the original order.

7How are credit notes handled after the upgrade?

Credit notes can continue to be issued as usual – also for invoices created before the upgrade.

8Do I need to change the way I invoice?

No – unless you receive direct instructions from us.
